Troubleshooting
Fixes for sync, notifications, the share sheet, widgets, Shortcuts, Siri, the connector, and the app not opening.
The app won't open
The screen says Opening Your Data, then Kan Do Couldn't Open Your Data.
- Tap Try Again once.
- Tap Restore from Local Backup… and pick the most recent backup. Kan Do keeps a copy of the current database first.
- If there's no backup on this device, tap Re-download from iCloud. Do this only if your other devices have the right data.

Changes don't show up on another device
- Both devices must be signed in to the same Apple Account with iCloud Drive on.
- Both must have iCloud Sync on in Kan Do's Settings ▸ Sync, and have been restarted after turning it on.
- Check Settings ▸ Sync ▸ Status for a Sync Problem row.
- Tap Sync Now on the device that has the change.
- If iCloud storage is full, uploads pause. Free some space.
- If tasks are missing content elsewhere, run Re-upload All Data on the device with the complete data, then quit and reopen.
"N items are hidden to protect your data"
A device ended up with duplicate copies of some items. Open Settings ▸ Sync and tap Merge Duplicate Copies, then Merge and Sync. A snapshot is saved first.
A note says "Note Changed Elsewhere"
The same note was edited on two devices before they synced. Keep This Version uses what you see; Not Now keeps both, with your version as a local draft.
Reminders aren't arriving
- In the system Settings app, under Notifications ▸ Kan Do, make sure notifications are allowed.
- The task needs Alert When Due, Alert Until Done, or Alert at Start turned on. A date alone doesn't notify.
- Check your Focus mode isn't silencing Kan Do.
- Location alerts need location access for Kan Do on the iPhone.
The share sheet says to open Kan Do first
You updated the app and haven't opened it since. Open Kan Do once so it can finish updating its database, then share again. If it says the database was busy, wait a moment and try again.
A widget is blank or wrong
- "Open Kan Do to get started": open the app once after installing or updating.
- "List unavailable — edit the widget": the list or project it showed was deleted. Press and hold the widget, choose Edit Widget, and pick another.
- Stale contents: open Kan Do. iOS can delay background widget refreshes for any app.
Shortcuts can't find my projects or columns
Open Kan Do once. The lists in Shortcuts are read from the app's database, which needs to have been opened after installing or updating. Nested tags show their full path, so check you picked the right one.
Siri doesn't understand
- Say "in Kan Do" or "to Kan Do". Otherwise Siri assumes Reminders.
- Native task understanding needs iOS 27 or macOS 27. On earlier systems, use "Add a task to Kan Do" and the other built-in phrases.
- Check Siri is allowed for Kan Do in the system Settings app.
The AI connector says it's outdated
After an update, the assistant may still point at an older helper. Open Settings ▸ Connector and re-run the setup command for your assistant. Keep Kan Do in the Applications folder so the path stays valid.
A cover image won't load
The picture is probably in iCloud Photos and not downloaded. Open it once in the Photos app, then try again, or use Choose File… with an exported copy.
"Task Too Large to Sync"
A cover image pushed the task past iCloud's record size. Tap Remove Cover Image, and put the picture in the note as an attachment instead.
Dragging a card doesn't reorder it
The column or list is sorted. Set Sort By to Manual in the … menu. Cards can still be dragged into a sorted column from elsewhere.
Empty space on the board doesn't create a task
That's expected on iPhone and iPad. It's a Mac-only behavior. Use the Add task field or the toolbar +.
I deleted something by accident
Right away: ⌘Z on the Mac, or shake to undo on iPhone and iPad, or tap Undo in the "Task deleted" pill. Later: archived tasks and projects are in the Archive menu; deleted ones can be recovered from a local backup on a device that still has them, or from a .kandoproj export.
